We are seeking a highly organized and detail-oriented Executive Assistant / Bookkeeper to join our growing team. This is a full-time remote position working U.S. Eastern Standard Time (EST) hours.

The ideal candidate will be comfortable handling both bookkeeping responsibilities and executive support tasks, while communicating professionally with customers and vendors.

Responsibilities:

Bookkeeping.
Manage accounts payable and accounts receivable.
Collect outstanding payments from customers.
Pay vendor bills and maintain accurate records.
Perform bank and credit card reconciliations.
Prepare and file sales tax returns.
Maintain organized financial documentation in QuickBooks.
Executive Assistant Support.
Manage email communications and follow-ups.
Conduct LinkedIn outreach and follow-up messages.
Schedule appointments and coordinate calendars.
Handle administrative and day-to-day operational tasks.
Support leadership with various ad hoc projects.

Requirements:

2–3+ years of experience in bookkeeping, executive assistance, or a similar role.
QuickBooks experience is required.
Strong proficiency in Microsoft Office / Microsoft 365 (especially Excel, Outlook, and Word).
Excellent written and verbal English communication skills.
Experience interacting with customers and vendors.
Strong organizational skills and ability to multitask.
Reliable internet connection and ability to work full-time EST hours.
