About the Job
We are seeking a highly organized and detail-oriented Operations Assistant to support daily business operations and administrative processes. This role is ideal for someone who enjoys multitasking, providing excellent customer service, and ensuring operational workflows run smoothly. The Operations Assistant will assist with billing, client onboarding, account management, administrative tasks, and commission processing while maintaining a high level of accuracy and professionalism.

Key Responsibilities:

Inbound Call Management:
  • Respond to inbound calls, primarily related to billing inquiries and concerns, while providing excellent customer service.
  • Address client questions professionally and escalate issues when necessary.
  • Ensure timely and accurate resolution of client concerns.
Accounts Payable & Receivable:
  • Monitor and ensure automatic billing processes run successfully on the 1st of each month.
  • Review billing information for accuracy and resolve discrepancies.
  • Contact clients regarding past due invoices and assist with resolving outstanding balances.
  • Generate invoices and ensure timely submission and tracking of payments.
Administrative Support:
  • File paperwork and maintain organized records.
  • Update client records within the CRM system and manage data entry tasks.
  • Prepare forms, quotes, and other client-related documents as required.
  • Ensure all administrative processes and client records remain accurate and compliant.
Client Onboarding Support:
  • Assist with onboarding new clients and support account activation processes.
  • Guide clients through initial setup procedures.
  • Submit port requests and actively follow up on porting cases to ensure timely completion.
Billing Profile Management:
  • Prepare and maintain billing profiles for clients.
  • Ensure profiles are accurate and ready to go live.
  • Coordinate with billing teams to ensure client accounts are properly established.
Commission Processing:
  • Assist with calculating and generating monthly agent commissions.
  • Ensure commission calculations are accurate and completed within deadlines.
Qualifications & Skills:
  • Previous experience in administrative support, operations, customer service, or a similar role preferred.
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Comfortable handling inbound calls and client interactions.
  • Experience working with CRM systems and data entry processes.
  • Strong problem-solving and multitasking abilities.
  • Proficiency in Microsoft Office and other business software tools.
  • Ability to work independently and manage priorities effectively.
