About the Job
We are seeking a highly organized and detail-oriented Property Management Operations Assistant to support the day-to-day administrative and operational functions of our property management business. The ideal candidate must have excellent working knowledge of Buildium, as well as exceptional English communication skills, both spoken and written.

This role is critical in ensuring smooth property operations, accurate record-keeping, and professional communication with tenants, property owners, and vendors.

Working Hours:
  • Monday to Friday.
  • 9:00 AM to 5:00 PM EST.

Key Responsibilities:
  • Manage daily operations using Buildium.
  • Create and update property, tenant, owner, and vendor records.
  • Process rent payments and monitor tenant balances.
  • Generate invoices, bills, and owner statements.
  • Track maintenance requests and coordinate with vendors.
  • Follow up on lease renewals, delinquent accounts, and outstanding tasks.
  • Prepare reports for management and property owners.
  • Maintain organized digital records and documentation.
  • Communicate professionally with tenants, owners, and vendors via phone and email.
  • Assist with onboarding new properties and tenants.

Required Qualifications:
  • Excellent knowledge of Buildium is mandatory.
  • Outstanding English communication skills (both spoken and written) are essential.
  • Minimum 2 years of experience in property management administration or operations.
  • Strong understanding of residential property management workflows.
  • Experience with lease administration, rent collection, and maintenance coordination.
  • Exceptional attention to detail and organizational skills.
  • Ability to work independently and manage multiple priorities effectively.
  • Proficiency in Microsoft Office and Google Workspace.

Preferred Qualifications:
  • Experience working with U.S.-based property management companies.
  • Familiarity with bookkeeping and basic accounting principles.
  • Experience with tenant screening and lease administration.
