We are seeking a highly organized and detail-oriented Property Management Operations Assistant to support the day-to-day administrative and operational functions of our property management business. The ideal candidate must have excellent working knowledge of Buildium and be comfortable managing tasks independently in a fast-paced environment.
This role is critical in ensuring smooth property operations, accurate record-keeping, and exceptional service to tenants, owners, and vendors.
Working Hours:
- Monday to Friday.
- 9:00 AM to 5:00 PM EST.
Key Responsibilities:
- Manage daily operations using Buildium.
- Create and update property, tenant, owner, and vendor records.
- Process rent payments and monitor tenant balances.
- Generate invoices, bills, and owner statements.
- Track maintenance requests and coordinate with vendors.
- Follow up on outstanding tasks, lease renewals, and delinquent accounts.
- Prepare reports for management and property owners.
- Maintain organized digital files and documentation.
- Respond to tenant and owner inquiries via email and phone.
- Assist with onboarding new properties and tenants.
Required Qualifications:
- Excellent knowledge of Buildium is mandatory.
- Minimum 2 years of experience in property management administration or operations.
- Strong understanding of residential property management workflows.
- Experience handling leases, maintenance coordination, and rent collections.
- Exceptional attention to detail and organizational skills.
- Strong written and verbal communication skills in English.
- Ability to work independently and manage multiple priorities.
- Proficiency in Microsoft Office and Google Workspace.
Preferred Qualifications:
- Experience working with U.S.-based property management companies.
- Familiarity with bookkeeping and basic accounting principles.
- Experience with tenant screening and lease administration.
