About the Job
We are seeking a highly organized and detail-oriented Property Management Operations Assistant to support the day-to-day administrative and operational functions of our property management business. The ideal candidate must have excellent working knowledge of Buildium and be comfortable managing tasks independently in a fast-paced environment.

This role is critical in ensuring smooth property operations, accurate record-keeping, and exceptional service to tenants, owners, and vendors.

Working Hours:
  • Monday to Friday.
  • 9:00 AM to 5:00 PM EST.

Key Responsibilities:
  • Manage daily operations using Buildium.
  • Create and update property, tenant, owner, and vendor records.
  • Process rent payments and monitor tenant balances.
  • Generate invoices, bills, and owner statements.
  • Track maintenance requests and coordinate with vendors.
  • Follow up on outstanding tasks, lease renewals, and delinquent accounts.
  • Prepare reports for management and property owners.
  • Maintain organized digital files and documentation.
  • Respond to tenant and owner inquiries via email and phone.
  • Assist with onboarding new properties and tenants.

Required Qualifications:
  • Excellent knowledge of Buildium is mandatory.
  • Minimum 2 years of experience in property management administration or operations.
  • Strong understanding of residential property management workflows.
  • Experience handling leases, maintenance coordination, and rent collections.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication skills in English.
  • Ability to work independently and manage multiple priorities.
  • Proficiency in Microsoft Office and Google Workspace.

Preferred Qualifications:
  • Experience working with U.S.-based property management companies.
  • Familiarity with bookkeeping and basic accounting principles.
  • Experience with tenant screening and lease administration.
